Initial situation
Growth and Increasing Complexity
LEARNTEC is Europe’s largest event for digital education and celebrated its 30th anniversary in 2023. The central theme was the use of artificial intelligence in teaching and learning.
In its anniversary year, the event recorded a 20% increase in visitors. A total of 13,500 people attended, alongside 450 exhibitors. With the growing number of participants and exhibitors, the overall complexity of the event increased significantly. At the same time, multiple conference programs, content streams, and stakeholders had to be structured and managed.
Since 2018, LEARNTEC has been using talque for content management and as its event app. Within this setup, all speaker and exhibitor data is centrally managed through the system.
Speakers independently maintain their content, specify technical requirements, and upload their presentations. These presentations are automatically assigned to the respective presentation rooms. At the same time, Messe Karlsruhe uses an online event calendar to showcase its events.

Implementation
Centralized content management and structured presentation
The implementation was based on the centralized collection and management of all relevant event data within a single system. A key component was the structured representation of multiple conference programs within a clear and accessible agenda. Participants were able to explore content and view individual program sessions.
In addition, a comprehensive exhibitor and product catalog was provided, presenting exhibitors and their offerings in a structured format.
For on-site orientation, a digital floor plan was integrated, enabling participants to navigate the venue effectively.
Several data management processes were implemented:
- Speakers were able to upload their presentations independently
- Technical requirements were captured directly within the system
- Handouts were collected and made publicly available
Exhibitors were also actively integrated. They were able to independently book agenda sessions and manage as well as upload their own data.
Another key component was the integration of content into the event website. Through a plugin, the agenda, speakers, exhibitors, and product catalog were directly displayed on the website. This allowed content to be used without duplication.
Participants were also provided with essential information within the app, including directions and schedules. On site, additional touchscreens displayed overviews of the agenda, speakers, exhibitors, and products.

Results
Simplified processes and active participant usage
The use of talque simplified several organizational processes, particularly in the management of speakers and exhibitors.
The centralized system enabled a structured presentation of programs, exhibitors, and content across both the website and the app.
Participants were able to access information in advance and prepare for their visit. During the event, all relevant information was available in one place.
Platform usage is also reflected in the interaction metrics:
- 566 on-site meeting requests
- 13,095 chat messages
These figures indicate active use of the provided features by participants.
The collaboration between LEARNTEC and talque has been in place since 2018 and has been continuously expanded over the years. According to project management, the use of talque led to a significant simplification in handling speakers and exhibitors. At the same time, it enabled a clear and flexible presentation of programs and content. In addition, participants were able to prepare effectively for the event in advance.
