The Association of Film Commissioners International (AFCI) is a globally active non-profit organization with members from six continents. It connects film commissions, producers and studios and organizes the AFCI Week in Los Angeles every year. The multi-day conference brings together over 170 film commissions and around 700 participants from 35 countries. Content includes panels, keynotes, networking sessions and workshops.
The organization faced several specific challenges in organising AFCI Week. Networking took place mostly within sessions, which meant that many potential contacts remained unused. At the same time, communication via printed programs proved to be inefficient, as information could not be updated in real time. There was also a clear commitment to sustainability: Printed materials caused costs and generated unnecessary waste.
Because of the small team structure, AFCI needed a solution that would simplify planning, centralize communication and at the same time improve exchange between participants.

With the introduction of talque, the event structure was completely digitized and centralized.
Participants were given access to the complete event program, including sessions and speaker information, in a single application. They were also able to create individual agendas by selecting relevant sessions and adding them to their personal calendar.
Communication was controlled in real time via push messages. Organizers provided information about program changes, pointed out sessions or sent out surveys. As a result, there was no need to rely on static, printed information.
A central element was the opportunity to network even before the start of the event. Participants were able to establish contacts and plan meetings before they arrived on site.
In addition, sponsors received their own profiles within the platform, which made them visible and accessible to participants.

Results & impact
High usage, better networking, and less effort
The introduction of the platform resulted in a measurable improvement in the event experience.
75% of participants rated the app as very useful. The primary reason for use was networking. The central bundling of all information increased clarity and made participation in the event easier.
In addition to the expected effects, there were additional results. Sponsors benefited from increased visibility and were able to get in touch with participants more easily. At the same time, interaction continued beyond the event: participants continued to use the platform for communication and exchange.
There was also a clear effect on an organizational level. Central control of communication reduced effort and simplified team processes.
AFCI and talque are planning to further intensify their cooperation for future events. The focus is on formats such as speed networking and live discussions to further increase interaction.
