Managing Email Errors

Introduction

When sending a large number of emails, some delivery errors are inevitable. On average, bounce rates typically range between 0.5% and 2%, depending on factors such as the quality of your contact list, how often you send emails, and the recipient domains. This bounce rate reflects the percentage of emails that couldn’t be successfully delivered.

If you’re sending invitations to company admins or participants, you might encounter bounced emails. In this article, we’ll explain how to identify these issues in talque, what causes them, and what steps you can take to resolve them

Finding Email Errors in talque

If an email fails to send, talque provides feedback on the issue. You can check for errors in the following ways:

Common Email Errors and What They Mean

By clicking on the details, you’ll see a red message with a code explaining the error. There are two categories:

  1. Soft Bounces
A “soft bounce” refers to a temporary issue that prevents the email from being delivered. These errors often resolve themselves after some time, but they still require attention. Examples of soft bounce codes include:
    554 5.2.2: Mailbox full
    451 4.7.1: Temporary server issue
421 4.4.0: Recipient server temporarily unavailable
552 5.2.3: Message size exceeds limit
Soft bounces can occur due to reasons like a full inbox, temporary server issues, or file size limitations.
  2. Hard Bouncess
A “hard bounce” occurs when the email cannot be delivered due to a permanent issue. This could be because the recipient’s email address is invalid or the recipient’s server is blocking your email. Common hard bounce codes include:
550 5.1.1: Recipient address does not exist
550 5.7.1: Email rejected due to suspected spam content
    550 5.1.0: Invalid recipient address
    553 5.1.8: Sender address rejected
    554 5.7.9: Message blocked by recipient’s anti-spam system
521 5.2.1: Recipient domain does not accept mail
These errors indicate permanent issues, such as incorrect or non-existent email addresses, or restrictions from the recipient’s mail server.

How to Resolve Email Errors

If you encounter email errors in talque, follow these steps:

  1. Try Again Later: If the error is a soft bounce (e.g., mailbox full, temporary server issue), wait and resend the email after some time.
  2. Verify Recipient Details: Double-check that the recipient’s email address is correct and up to date.
  3. Review the error code: Understanding the error codes can help you resolve the issue. For example, you can refer to Google’s official Gmail SMTP Error Reference for more details.
  4. Use Alternative Contact Methods: Especially when sending out exhibitor admin invitations or other key contacts, try contacting them via another method (e.g., phone or a different email address).

By following these steps, you can improve email deliverability and ensure your messages reach their intended recipients.
